Mô tả công việc

Report to: Rewards and HR Operations Consultant
Duration: 8 months
The Opportunity
Role Purpose: to learn, experience and perform tasks as a Receptionist cum HR Operation Admin:
• Serve as liaison with service vendors and outside customers to maintain company’s quality standard
• Handle some office admin tasks in the head office
The role is primarily responsible for but not limited to:
1. Reception:
• Provide a professional reception both in greeting visitors and taking telephone calls.
• Receive and channel telephone calls.
• Greet and channel visitors (visitors sign in/out the office) and provide H&S Site Induction.
• Distribute couriers, mails to receivers and arrange all outwards correspondence on time.
• Perform Office Administration project work as required from time to time.
2. Operational Admin:
• Follow up and maintain sufficient office stationery, office equipment maintenance.
• Review, update the list of recommended couriers, stationery, printing, air-ticket suppliers at least once a year.
• Service contract management: process re-new contract with suppliers in line with Fonterra process & procedure.
• Manage access card, parking card and taxi card, name card, sim card registration.
• Air-ticket, car & hotel booking for business trips.
• Quarterly purchase phone cards and deliver to staff accordingly.
• Process monthly payment of parking fee, electricity, water, couriers, stationery.
• Staff induction assistance (access card, parking card, name card, etc.)
• Monthly update Health insurance to insurer.
• Monthly update Contact list and Master list.
• Maintain list of birth-day, other staff events and send appropriate cards to staff on time.
• Daily attendant record.
• Perform other admin tasks to ensure office runs smoothly and as assigned.
Major Challenges
• Maintain data, lists in order, on time & accurately.
• Work closely with internal and external customers.
