Mô tả công việc

1. POSITION PURPOSE
To deliver friendly, efficient customer service and to create a warm and welcoming atmosphere for all of our guests.
BASIC FUNCTION
- Welcome visitors, including telling people that their visitors have arrived and they are offered with soft drinks while waiting
for their host person
- Answer all incoming phone calls to the office during working hours
- Handle all in-coming and out-going correspondences, including sending fax/mail out, receiving fax in, filing such documents
and follow receiving/distribution procedures
- Translate documents into English and vice versa upon request
- Receive meeting booking, set up meeting and prepare materials for meeting upon request
- Tidy and maintain the reception area
- Order office flowers, newspapers, consumables, stationery, courier; follow-up and check invoices
- Arrange passport & visa for all staffs and guests in and out of JSE; follow-up and check invoices
- Follow-up and tracking all administration service, check invoices and proceed payments
- Coordinate with other staffs in office all team works
- Other duties as directed from time to time.
PRINCIPLE ACCOUNTABILITIES
- Perform a professional and warm welcome and guidance to visitors from partners, contractors, suppliers
- Ensure that all phone calls are being answered accurately, politely and transferred to the right person
- Ensure all in-coming and out-going correspondences are fully recorded and filed following the company’s procedures
- Provide promptly response and accurate arrangement in all logistic requests
- Ensure reception area are well organized

Yêu cầu công việc

Formal Qualifications
- College degree is required
Experience, Skills and Knowledge
- At least 2 year working experience
- Knowledge of administrative and clerical procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Good time management skills and the ability to prioritize work
- Good communication skills
- Organizational skills with the ability to multi-task
