Mô tả công việc

* Summary/Objective 
- The office manager position is responsible for overall front office activities, including the reception area, mail, large purchasing requests and facilities. Also responsible for directing and coordinating office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment. Responsible for arranging internal office moves and providing arrangements for office meetings.
- The human resource manager is directly responsible for the overall administration, coordination and evaluation of the human resource function.
** Essential Functions
* Administrative:
- Supervises and coordinates overall administrative activities for the Office Administration Department.
- Supervises the maintenance of office equipment, including copier, fax machine, etc.
- Participates as needed in special department projects.
* Financial
- Set up supplier contracts with favorable terms
- Manage office expenses, ensure quotations for all items received from a minimum of 2 suppliers.
* Legal
- Applying document for Temporary Residence, Work Permit of foreigner staffs.
- Meeting with Department of Social Insurance, Fire Safety, Environment Protect Plant, Wash Water Treatment System …
- Performing procedures on relation to Appling the document for Public Security, Fire Safety, Environment Protect Plant, Wash Water Treatment System …
- Performing procedures in relation to real estate and handle Leasing contract, Selling Contract, Certificate House Ownership and Land Use Right …
** Human resource
* Recruitment
- Identify recruitment channels, select and recommend the most cost-effective ones based on requirements
- Organize recruitment process, screening interviews, prepare offer letters, prepare contracts for selected candidates, conduct new staff’s reference check, train and develop the human resource as company’s request.
- Manage On-boarding process and follow - up in order to facilitate their integration in the company
- Support in introduction & orientation to existing & new employees about HR procedure & policies working condition, company regulation, how to use forms, application, etc
- Organize Staff activities: well organize HR event such as new- year party, team building trip, HR activities to maintain and enhance the company culture with good conditions and interesting activities in order to build up strong and positive working environment.
* Handle & report to Social Insurance Department/ Labor Department/Union Trade Department/
- Manage & follow-up report to Social/Health/Unemployment insurance to update every changes in HR in time & adequately.
- Work with Trade Union Department to handle activities related to Trade Union.
* Manage employee’s profiles including
- Prepare and store employee Document/ Labor contract/ Non- disclosed Agreement (NDA)
- Follow-up labor contract expiration to make sure renewal of Labor contract in time.
- Build, manage and store the Employee profile reasonable: update CVs, certificate & always keep information most-updated.
* Employee compensations & benefits
- Manage & follow-up employee Annual leave, Overtime & compensation leave…
- Make the monthly Payroll calculation
- Support employee in Health, accident Insurance program, maternity, unemployment and other compensation such as Redundancy allowance and Job-loss Allowance.
* Employee’s performance evaluation process
- Calculate KPI achievement of Workers
- Handle & follow up with Performance evaluation process periodically/ Quarterly & yearly.
* Training activity: organize of staff training session.
* HR compliance
- Make sure that the organization labor execution is compliant with labor law and regulation
- Co-ordinate to update, built and complete the Employee Handbook, Internal Regulation Working policy
- Administer and control employee movement, probation and annual appraisal system
- Prepare HR-related reports as Director’s request.
- Create, maintain, update and complete the job descriptions for every position in company.
- Planning, advising and proposing to the General Director issues in the field of personnel such as building the organizational structure, management of the company, recruitment training, salary options, reward welfare for workers, ...
* Work Environment
- This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
* Physical Demands
- While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms and requires the ability to occasionally lift office.
* Travel
- Travel is primarily local during the business day, although some out-of-the-area and overnight travel may be expected.

* Supervisory Responsibility
- This position manages all employees of the department and is responsible for the performance management and hiring of the employees within that department.
* Required Education and Experience
- A bachelors degree in Business Administration
- Experienced HR manager - minimum 6 years with strong HR partnering skill

- Demonstrable experience with human resources metrics
- Ability to architect strategy along with leadership skills
- Excellent active listening, negotiation, influencing and presentation skills
- Competence to build and effectively manage interpersonal relationships at all levels of the company

- Good communication in English
